Write Better Business Communication

Duration: One Day  & Two days depending on specific client need

Introduction

Communication is not just speaking or writing, but understanding. While communicating, whether speaking or writing, we send messages that create an impression in the mind of the recipient. Whatever form the communication takes, we have to ensure that the message we get across is the message we intend.  Learn to communicate better in writing, from casual emails to reports.                                                                                                                                                                            

In South Africa we have a vast number of people that don't speak, read or write English as a first language. Therefore, as English is the language of business and therefore communication in our global world, they are not coping. So often the image of a company and the communication from that company is compromised through the incorrect use of the English language.

This course is designed to assist people in mastering and putting into practice the rules of the English language. It requires a large degree of learner participation both orally and in the written form. Learners will be required to put into practice what they are taught throughout this course.

Outline

Words - their importance, jargon and colloquialisms

Dictionary use - limitations of the computer

Grammar - why it must be correct:

  • Subject / verb relationships
  • Spelling - computer limitations
  • Common errors and why they are incorrect
  • Sentences
  • Paragraphs
  • Tone
  • Inappropriate language

Formats:

  • Formal letters
  • Memo's
  • Faxes
  • E-mails
  • Formal reports
  • Minutes of meetings

Outcomes

At the end of this course participants will have learned how to:

  • Remain aware of the three basic elements of effective communication - Why? What? Whom?
  • Use the appropriate format for formal business letters
  • Use acceptable formats for producing memoranda, faxes, reports and minutes
  • Use of basic rules for grammar and punctuation of the English language
  • Use the correct tenses, plurals and paragraphs in written English
  • Keep it short and simple
  • Avoid the use of jargon, clich√©s and complicated language
  • Master the process of drafting and editing until the desired end product is reached
  • Keep the intended audience top of mind
  • Test their own work for effectiveness and clarity
  • Become familiar with the basics of each form of communication used in the modern business world
  • Choose the most suitable format for their particular needs

The skills as listed above are designed to improve the written communication process in the workplace. Throughout the course, the learners will be encouraged to bear in mind why they are communicating, who will be receiving the communication and what is being communicated. This will allow them to decide which format is the most appropriate for their needs.

As this programme is delivered in the English language, basic English skills must be in place. Those learners who are second language users may need to attend a Basic English Skills course prior to attempting this one.
